As we approach July, Mister Management will be sending out our welcome packet. It will include the following.

Owner information
Pet information
How to set up the new payment
Procedure in how to raise a service order/work request versus an emergency

Here are a few FAQs to help. If you have additional questions, fill out a work request with your question.

5. Can I opt out of the leasing fee a year?	Yes. Don’t rent your condo out for the long term leases. Reminder, short term leases and sublets are not allowed per our bylaws.	N/A	N/A
6. If I manage the Pittsfield lease requirements, can the Board take ownership of auditing instead to bypass the annual fee?	No. The Board will not be validating government required documentation for payment, license, or inspections.	N/A	N/A
7. Do I need to have a new login for yet another website?	Yes. 12. What happens if I make a mistake and still pay Select instead of Mister Management?	Select will either credit it back or send the amount to Mr. Management.	N/A	N/A
13. If I don’t pay Mr. Management in August by accident, will I be charged a late fee?	No. For the month of August, if you send to the wrong place, there will be grace and the late fee will be forgiven. However, unpaid and/or refusing to pay in August does not mean a late fee will be waived.	N/A	N/A
14. Will the late fee change now that we move to Mr. Management?	No. Late fee remains the same.	$20	$20
15. Will the due date change for the association dues?	No. The due date is still the same.	The Fox Glen Bylaws, Article II Assessments, paragraph 2.3 defines penalty for default for ten or more days: i. Each payment in default will bear interest from the initial due date thereof at the rate of seven percent (7%) per annum until each installment is paid in full. * Payments applied to default assessments will be in the following order: ii. To costs of collection and enforcement. 1. Interest charges and fines. 2. To amounts in default in order of due dates. c. A fine for late payment of $20 per month for each payment that is more than ten (10) days late will be assessed. d. Monthly assessments that are overdue by 70 days or more will be referred to the Association’s attorney who will send the Co-owner a letter with intent to lien. e. 16. Why do I need to select for a coupon booklet?

Previously, everyone received a coupon booklet because we had no portal access. In the new system, we can see in the portal our amount.

Everyone received a booklet and the fee was charged to the association.

Only those who want a booklet will be charged a $5 fee per year for the booklet.

Annual Limited Comment Elements Notification and Maintenance

Here are some friendly reminders as we move into the lovely weather and more home sales. Let’s do our part to keep our neighborhood looking great.

Borders are the responsibility of the co-owners to keep well maintained
- If borders are to be changed or added, we need a modification request
- Specifically, if big trees are to be removed/added, a modification request will be needed
- Changes in the layout/size of the borders require a modification request
- Fences require a modification request
Changes to the exterior of your home will also require a modification request

Green moss growing on homes, specifically on North side of the house facing the front yard should be removed before Fall
- Recommend either hiring a power washing company or purchase power washer to clean the moss

Review the Limited Common Elements that should be action-ed upon from last Fall’s review

- This year, we have streamlined it to make it an easy online review and to update in 1 place.
- Look for the email which provides the assessment and your score.
  - It will provide two fields to allow you to enter in your target completion date as well as your maintenance plan.
  - If you have nothing to update (your overall total score is less than 3), then feel free to enter the date you are completing the form and indicate your maintenance plan is completed.
  - Until both the date of completion and plan is provided, you will receive a monthly reminder through November of current year.

Love is in the air – critters will abound
- Chipmunks and field mice like to dig out our pea gravel from under the sidewalks
- Rabbits and squirrels like to dig in our gardens and damage our flowers
- We have birds of prey, coyotes, and foxes that live in our neighborhood; poisons used to kill vermin are strongly discouraged as we don’t want to cause damage to our ecosystem
- We also have cats that are outdoor/indoor who may also catch the rabbits, chipmunks, squirrels, etc. – they also may be negatively impacted
- Recommend using live traps and re-home critters to a forest or prairie miles away from our homes

An Exciting Update for Our Community: Upcoming Partnership Changes

We wanted to share some important and exciting updates regarding the management and upkeep of our beautiful and tranquil community.

After careful consideration, evaluation, and a commitment to keeping our neighborhood thriving, the Board has decided to transition to new partnerships for both our property management and our trash/waste management services.

Saying Goodbye and Welcoming the New Property Management

For the past 16 years, Select Community Management has been a dedicated partner to our neighborhood. We are incredibly grateful for their long-standing service and the support they have provided us over nearly two decades.

As we look towards the future and focus on modernizing our community operations, we are officially transitioning to Mister Management targeting an August 1st Go Live Date.

We chose Mister Management because of their proactive approach and the streamlined, modern tools they bring to the table. Most notably, this switch will introduce a brand-new Co-owner Portal. Through this secure online platform, we will be able to enjoy several new conveniences:

Track Individual Work Orders: Submit maintenance requests and monitor their status in real-time.
View Accounts & Pay Online: You will be able to securely view your account balance history and pay your dues electronically online.
Streamlined Vendor Payments: On the administrative side, the Association will now be able to pay our neighborhood vendors electronically, ensuring faster, more efficient operations.
Mobile App: You will be able to access the portal on your cellphone!

We believe this transparency, ease of communication, and modern financial management will significantly improve our day-to-day operations and significantly decrease the work load on our board members.

Waste Management Update

Many of you have shared your frustrations regarding the poor service and communication we’ve experienced with our current waste management provider. The Board has heard you loud and clear.

Because of these ongoing issues, we are currently pursuing a termination with just cause to exit our current contract. We expect to receive final information from our current provider by the end of June.

In the meantime, we have been proactive! We have negotiated terms with Stevens Disposal, the same company Pittsfield Township now uses. Through these negotiations, we have secured a similar service structure and rate that Pittsfield receives, ensuring we get the reliable service we deserve without sacrificing value.

Important Timeline & Next Steps

Please rest assured that the Board is working closely with all parties involved to ensure a seamless transition. Here is what you can look forward to over the summer:

Late June: We will share more communications highlighting the specific differences and service expectations for the waste management switch once our current contract details are finalized.
July: Keep an eye out for a welcome packet from Mister Management! This will contain detailed instructions on how to set up your new portal account so we are all set up for our association dues to officially switch over on August 1st.
September Annual Meeting: Representatives from Mister Management will be joining us in person at our September Annual Meeting, giving everyone a chance to meet them and ask any questions.
